The Project Overview
An international events and business intelligence organisation with teams across multiple countries held a wealth of workforce data in Microsoft 365, Microsoft Entra ID and its endpoint estate, but had no trusted way to bring it together. Transputec, working with Kuhnic AI, established secure access to that Microsoft 365 data, cleaned the organisational directory and delivered a workforce analytics dashboard that gives leadership a clear, controlled view of how distributed teams work, without adding a new platform to the technology estate.
The Challenge
The organisation had no single view of its Microsoft 365 workforce data. Information was spread across different Microsoft services, making it difficult for leadership to see patterns across departments, locations and business functions.
Data quality was a second obstacle. The directory contained incomplete and inconsistent details such as department, country, job title, manager and office, along with service accounts, disabled users and former employees that would distort any reporting if left in place.
Privacy and access were equally important. The organisation wanted to understand workforce patterns without creating unnecessary access to individual employee activity, so any workforce analytics solution needed clear control over who was included and what data could be accessed.
What We Did
Transputec and Kuhnic AI started with the foundations rather than the dashboard. Secure access was established to Microsoft Entra ID for organisational data, Microsoft Graph for calendar and meeting intelligence, and relevant endpoint telemetry. A dedicated security group allowed the organisation to define exactly which users were included, introducing workforce analytics in a controlled way and addressing stakeholder concerns around privacy.
The team then audited the directory, removing service accounts, disabled users and leavers from the reporting population and documenting gaps in key organisational attributes. With a reliable data foundation in place, Transputec and Kuhnic AI built a workforce analytics dashboard providing a rolling 30-day view of meeting activity, login patterns and Microsoft 365 application usage, with monthly summaries retained so trends can be tracked over time.
The Impact
Leadership now has a structured view of workforce activity across its distributed teams, including differences in meeting activity between departments and locations, how teams use Microsoft 365 applications, and how working patterns vary across geographies and time zones. The dashboard provides a practical evidence base for decisions on collaboration, technology adoption and distributed working.
The data audit also highlighted where organisational information needs improving, giving the business a clear data governance roadmap, and the controlled access model provides a measured way to expand workforce analytics over time. The result is more than a reporting dashboard: it is a foundation for making better use of Microsoft 365 data the organisation already owns, with security, privacy and data quality built in.
